Recession-Proof Your Small Trucking Company:

A Trucker's Survival Guide

The 4 keys to Recession survival

These four key priorities are always true, especially when facing the type of recession that is looming upon us. For a small trucking company to survive, it must put these concerns ahead of all others:

1.     Service your customers with excellence

2.     Control your costs

3.     Look after your drivers and owner/operators

4.     Work your receivables

If you can accomplish these, positioning yourself as a leader, before a recession hits, you’ll not only survive but thrive even in an unstable economy.

Control Fuel Costs

Without question, the largest cost incurred by any small trucking company is the purchase of fuel. Well-managed fuel programs provide excellent opportunities for savings. We offer one that’s proved to be quite effective. In the first 20 days of July, participating companies saved close to 15% on their fuel purchases. One member of our network purchased 234 gallons in a single fill-up and saved $214. If a small trucking company can save that much two or three times per week, imagine the impact on a carrier’s bottom line.

Once you have the right providers on board, a fuel program can be the difference that keeps trucks and businesses running. But it’s not only about fuel. It’s also important to manage other areas of the business with discretion.  For example, avoid dry runs, which minimize idling time. The smarter you spend your time and money, the more you’ll thrive in tough economic times.

Boost Cash Flow by Accelerating Invoicing

We're all for factoring. It's a viable solution to immediate cash flow needs, and we support our carriers who access it when they need it. That being said, it’s not sustainable for a business in the long term. We urge small trucking companies to accelerate their cash flow in other ways, so they can opt out of factoring.

In the trucking industry, newly developed technology helps users invoice jobs more quickly by automating the process. Using traditional systems, a driver delivers a load in a given city and then takes a picture of the bill of lading to send in a text or email to the back office. In response, the back office pulls that information out and hands it to the accounting clerk, who quickly prioritizes it. But in most operations, that invoice isn’t going out right away.

A TMS captures proof of delivery in moments, putting it directly into the invoicing queue, where the clerk can retrieve it within 15 minutes. That’s a fraction of the time it takes manually. A true game-changer.

The sooner you start aging your receivables, the more you can accelerate your cash flow, and the less likely you'll need to factor. This updated, automated process saves anywhere from 2% to 5% in factoring fees. How much does that come out to on $50,000 worth of receivables?

Now, having said that, we repeat: Factoring has its place.

Make Wise Use of Factoring

For all the criticism we’ve doled out on factoring, at times, it’s the best option for a trucking company when struggling with cash flow. If a shipper doesn't pay for 90 days, it’s not a good business practice to carry that shipper’s paper for three months. The trucking company needs that cash to operate.

Selling the invoices to a factoring company and paying the fee may be less appealing than simply getting paid quickly by the client. But it’s far better than missing payroll or failing to maintain your assets. It’s also better than deploying considerable man-hours trying to collect invoices sooner, only to come up empty. When factoring is the best and only option, make sure you’re working with the lowest cost partner possible.

Give On-Road Talent What They Want

Before technology was injected into the trucking industry, drivers wrote things down, kept logs and notebooks, and used their brains to remember information. They wouldn’t think twice before calling dispatch to get a much-needed answer.

Today, drivers rely on quick, easy digital access to information. They expect visibility and a central database. They want to self-select the necessary data from a device that’s in their hand and contact dispatch as a last resort.

We realize how expensive it is for small trucking companies to install legacy software. It comes with implementation challenges. Envase made these options browser-based, simplifying the process and dramatically reducing costs, delivering it as an app you can hold in the palm of your hand.

Trucking company executives want technology that moves their company forward. But they’re afraid to make an expensive, career-ending mistake. If you're grappling with questions, contact us. We can help.
